Which IRS fax number should you use?

There is no single IRS fax number. The IRS routes incoming faxes by form, and for most forms by the state the taxpayer or business files from. Sending a form to the wrong campus does not usually get it rejected outright — it gets forwarded, or it sits, and you lose weeks you did not budget for.

The three splits that matter most: Forms 2848 and 8821 go to a Centralized Authorization File unit in Memphis or Ogden. Form SS-4 goes to a single number for the 50 states and D.C. Form 2553 goes to a Kansas City or Ogden service center — and that split is not the same as the CAF split, which is the single most common mistake we see people make.

What you cannot fax to the IRS

Faxing a document the IRS does not accept by fax is not filing it. The transmission succeeds, you get a confirmation, and nothing has been filed — which is a genuinely expensive way to miss a deadline.

Original returns cannot be faxed. That covers Form 1040, amended returns on Form 1040-X, employment tax returns on Form 941 and Form 940, corporate returns on Form 1120, and adjusted employment returns on Form 941-X. All of those must be e-filed or mailed to the address in the form instructions.

Never fax a payment. Do not put a check image or card number on a fax to the IRS. Use IRS Direct Pay, EFTPS, or the payment options listed on IRS.gov.

Signatures on faxed IRS forms

For Form 2848, the IRS requires a handwritten wet-ink signature. A typed name, a cursive font, or a signature drawn in a PDF reader is not accepted and the authorization will be rejected. Print the form, sign it by hand, then scan it or photograph the signed page and upload that.

A phone photo is fine as long as the whole page is in frame, the text is in focus, and the lighting is even. Fax transmits in black and white at low resolution, so a shadowed or angled photo can arrive unreadable. If you are photographing rather than scanning, lay the page flat and shoot straight down.

For Form 2553, every shareholder must sign the consent statement before you send it. A 2553 that arrives with a missing consent gets bounced back, and by then you may have missed the election window.

Why a fax confirmation matters for deadline-driven filings

The IRS does not send an acknowledgement for most faxed forms. Your own transmission record is the evidence you retain, which makes it worth keeping properly rather than as a screenshot you lose in six months.

Two situations where this genuinely matters: a Form 2553 S-corp election, which must be filed no later than two months and 15 days after the start of the tax year it takes effect; and a CP2000 response, which typically carries a 30-day deadline from the notice date. In both cases a timestamped confirmation showing you transmitted before the cutoff is the cleanest answer if the IRS later questions timeliness.
