Fax remained the default in US healthcare largely because it was explicitly carved out as acceptable under HIPAA while email was not, and because it works between organisations that share no systems at all. A clinic, a pharmacy, and an insurer with three incompatible record systems can all receive a fax.

For a patient, that means being told to fax a records release, a prior authorization, or an FMLA form — usually by an office that will not accept it any other way.

Faxit is built for individuals sending their own documents: your own records release, your own insurance form, your own disability paperwork. Transmissions are encrypted in transit with TLS and uploaded files are deleted after sending.

Faxit is not a HIPAA-covered service and does not offer a Business Associate Agreement. If you are a covered entity — a clinic, a billing company, a provider transmitting protected health information about patients — you need a vendor that will sign a BAA, and that is not us. This is a real limitation, not a disclaimer to skim past.

Most rejections are administrative rather than clinical. Include every identifier the receiving office needs to match your fax to a file: full name, date of birth, member or patient ID, and the date of service where relevant. An unmatched fax gets set aside, not chased.

Put a cover page in front of anything going to a busy office. Name the recipient department, state what the document is in one line, and give a callback number. A records request that lands in a general inbox with no addressee can sit for weeks.

Keep your delivery confirmation. If an insurer later says they never received a prior authorization, a timestamped record of the transmission to their published fax number is the strongest thing you can produce.
