What banks still require by fax

Banks treat email as an unacceptable channel for anything carrying a signature or a full account number, and many have not built a secure upload path for the long tail of one-off forms. Fax is what is left.

The documents that most often come with "fax this to us" attached are dispute and fraud affidavits, wire transfer authorizations, beneficiary changes, loan and HELOC paperwork, trust and estate documentation, and identity verification after a flagged transaction.

Send only what they asked for

Fax destinations inside a large bank are shared queues. Do not send more than the request calls for. If they want proof of address, send the one page showing it, not a full statement with every transaction on it.

Where a form asks for partial identifiers, give partial ones. Plenty of verification requests need only the last four digits of an account or SSN, and sending the full number because it was easier increases your exposure for no benefit.

Put the account or claim number on every page. Pages get separated at the receiving end, and an unlabelled page two is an unmatched page two.

Deadlines and proof

Consumer protections on card and account disputes are deadline-bound — commonly 60 days from the statement showing the transaction. Missing it can cost you the protection entirely, regardless of the merits.

The bank will not usually acknowledge a faxed form. Keep your timestamped delivery confirmation, and if the matter is significant, call a few days later and ask them to confirm the document is on file. Faxit emails you the confirmation automatically once the transmission completes.
